UNIFY is looking for a Senior Project Manager in Melbourne to help the successful delivery of allocated projects for UNIFY clients globally.

Position Details

The Senior Project Manager (Senior PM) role is accountable for successful delivery of allocated projects from project scoping and commencement to project completion. This will be achieved through:

  • complying with UNIFY Project Management framework principles for Initiation, Planning, Execution, Monitoring, Governance and Closure of phases and projects.
  • managing the performance of consultants allocated to the projects
  • managing customer expectations through the development and maintenance of strong relationships with customer project teams

The Senior PM is responsible for assisting the overall success of the Project Practice both in terms of delivering quality solutions for its customers as well as commercial success for UNIFY business.

In addition to applying the UNIFY Project Management Framework on all projects (including methodology, processes and governance), the Senior PM also is responsible for continuously identifying and executing improvements to that Project Management Framework.

The Senior PM will work with the UNIFY Leadership team, UNIFY employees, and customers to meet its vision and strive to behave in a manner that reinforces UNIFY’s values.

Responsibilities

Project Management

  • Contributing to the Statement of Work (SoW) in the scoping phase
  • Managing the project as defined in the Statement of Works
  • Identification of resources required for the project team
  • Managing resources on project teams
  • Complying, supporting and developing consistent project management standards, tools and techniques including processes for risk, issue and scope management
  • Maintaining cashflow of project in line with agreed Milestones
  • Establishing and managing project progress meetings with customers
  • Identifying and promptly resolving project issues and remove associated project delays
  • Project activities achieved on or before scheduled time and within budget
  • Consideration is given to events beyond your control e.g. incorrect scoping of budgeted hours.

Achievement will be measured against the goals identified below:

  • Statement of Work (SoW) is signed off prior to project commencement
  • Assigned projects delivered within budget, on time and agreed quality (unless otherwise agreed)
  • Assigned project timesheets completed by staff daily and approved weekly
  • Post implementation reviews completed for assigned projects (internal & with the customer)
  • Projects milestones (as per the approved SOW) signed off by customers without delays
  • Risks identified early, and mitigation plans are identified and agreed (where appropriate)
  • Issues are tracked and proactively managed
  • Resource management processes are followed
  • Accurate and appropriate resource requirements identified early
  • Projects are delivered in accordance with the UNIFY Project Management Framework and consistent with PM standards adopting appropriate tools and techniques including risk, issue and scope management
  • Clear, accurate Status Reports completed on the agreed schedules

Resource Planning

Accurate and timely resource planning is an essential component to ensuring optimal allocation of resources across the UNIFY portfolio of work. This accurate and timely planning enables UNIFY to increase the overall profitability of the organisation and increase the employee engagement levels.

Achievement will be measured against the below goals:

  • Provide input (as/when requested) into proposals on the number of resources and associated skills required
  • Ensure the resource requirements are understood and agreed during the initiation phase of a project and are reflected in the UNIFY project management tool (e.g. Celoxis)
  • Regularly update the resource forecast in the UNIFY project management tool for the project(s) to reflect any changes (minimum weekly)
  • Be able to effectively adapt to changing requirements or unplanned unavailability of resources. Associated activities can include: reviewing options and impacts of re-allocating staff, understanding and communicating the relative priorities of projects.

Business Process Compliance - Operational Excellence

  • Provide our customers with a consistent high-quality service experience through compliance and adherence to Business Process.

Project Documentation

  • Documentation produced as part of a project is UNIFY IP and therefore needs to be centrally stored to enable future re-use and/or reference.

Documentation is stored in the appropriate UNIFY repository.

Timesheets

The following guidelines apply when entering timesheets:

  • All scheduled working hours need to be entered into Celoxis (at least 8 hours on a normal day)
  • Times are entered against the appropriate Celoxis phase and task
  • All times need to be entered by COB Friday
  • Times entered will be reviewed and approved/rejected by the relevant manager
  • Short Text against the timesheet entry is compulsory and will appear on any invoices which may go to customers.

Timesheet Approvals

Through reviewing where we are spending our time and effort a project manager can gain a much deeper understanding of their project such as:

  • Identify activity effort overruns/underruns
  • Understand team and individual productivity
  • Progression against planned activities
  • Impact of non-project activities on project

Timesheets submitted by the project team members need to be reviewed by the project manager to ensure that the activities align with expectations. The project manager is then responsible for the approval/rejection of the time.

The following guidelines apply when approving timesheets:

  • All project hours in Celoxis need to be approved or rejected by 11am on the first business day of the week
  • Associated short text comments should be reviewed as part of this process as this may appear on invoices that go to customers.
  • All rejections must be explained to the individual with guidance on remediation activities required

Measurement will be via monthly call quality checks, publication of the weekly delinquent report and approval checks on Monday lunchtime. 

Collaboration & Knowledge Sharing

  • Collaborate with key stakeholders to contribute to the successful performance across the company
  • Improve and develop technical skills by developing meaningful IP (documentation, in-house training). Especially in areas where there are considerable knowledge-gaps between team members.

Learning & Development

As a UNIFY consultant, maintaining the necessary level of skill, capability and knowledge in relation to supported technologies and products is of the utmost importance to service delivery, partnership status and contractual obligations.

Achievement will be measured against the goals identified below:

  • Construction of a “Learning and Development Plan” identifying goals to be achieved which may include skills, certifications, training courses and exams.
  • Demonstrate evidence that targeted skills have in fact been acquired as a result of focused development (delivering projects or performing support activities on this technology, etc.)

Communication & Reporting

Effectively communicate with UNIFY Stakeholders and clients on the status of projects.

Regular communication and reporting is vital for the successful delivery of a project and is a major responsibility for the UNIFY project manager.

Achievement will be measured against the goals identified below:

  • Regular status reports are generated and shared with the client and UNIFY team and your Reporting Manager as required
  • Status reports stored in the UNIFY shared repository
  • Escalations of project issues including client dissatisfaction occur early and remediation steps are identified and executed

Surveys

The Team Member and their Reporting Manager will select the relevant people the Team Member has worked with to complete a survey for the nominated Team Member. This may include:

  • Projects Managers
  • Customers
  • Peers
  • Self-Assessment

The survey feedback provided from these key stakeholders, will be included in the Team Member’s performance review process. The purpose is to provide a robust and more objective review and also to gain insights that may also be incorporated in the Team member’s Learning and Development Plan.

Selection Criteria

Qualifications and Experience

  • Excellent verbal and written communication skills;
  • Extensive knowledge and expertise in program/project management
  • Foundation knowledge of IT systems / IT software development lifecycles
  • Experience leading a geographically distributed team of between 3-5 resources
  • 5+ years of working within IT and / or Professional Services organisations
  • 3-5 years of project management experience
  • 3-5 years of equivalent leadership experience
  • Bachelor’s degree or certificates in Project Management, Business or IT/Computer Science (minimum) or 5 years industry experience;
  • AIPM or PMI certification
